What should I expect during the consultation call and how
do I schedule it?
We understand how difficult it can be to find a therapist who you feel connected to, and use this call to support you in determining if Healing Concepts is a good fit for your needs. During this call our intake coordinator or a therapist will review our services with you, ask you to provide a brief overview of what motivated you to consider therapy with us, and ask you questions about your history. We will also answer any questions you may have to support you in determining if you would like to pursue therapy with us. This call is complimentary and typically takes about 15 minutes.
If it is decided that we are a good fit for your needs, you will then be matched with a therapist who has expertise in your presenting concerns and who aligns with your schedule. You will be given the option to speak with this therapist prior to deciding to work with them if they did not complete your consultation call.

Do you accept insurance?
The providers at Healing Concepts are not “in network” with any insurance companies. This means that we do not bill directly to insurance companies and our client’s pay their therapist’s full fee at the time of service. The reason for this is that we value being able to practice therapy in ways that honor the unique needs of our clients. Many insurance companies influence the type of treatment you can receive and place limits on the amounts of sessions covered per year, which does not always align with what we believe is best for our client’s healing and growth.
If your insurance provider offers “out-of-network” mental health benefits, you may be able to be reimbursed by your insurance company for a portion of your therapy costs. The information below can help you to determine if your insurance company offers out-of-network reimbursement for mental health.

How does “out-of-network reimbursement” work?
We can provide what is commonly known as a “superbill” to clients with insurance companies that offer out-of-network reimbursement. A superbill is an itemized receipt of all of the therapy sessions that you have attended and paid for in full that is required by insurance companies for out-of-network reimbursement. To provide you with a superbill we are required by insurance providers to give you a psychiatric diagnosis to prove “medical necessity.” Your therapist will discuss this with you prior to providing you with a superbill.
Given the differing ways insurance companies handle reimbursement, we suggest calling your insurance company directly to understand their unique process for submitting claims and receiving reimbursement.
Please note, we are not able to provide a superbill to those with Medicare or Medicaid. While we can provide superbills to those working with a pre-licensed provider, we cannot guarantee whether or not they will be accepted and reimbursed by your insurance.

How do I determine if I am eligible for “out-of-network reimbursement”?
Because insurance coverage varies per insurance provider and insurance plan, we suggest calling your insurance company directly to determine if they offer “out-of-network” mental health reimbursement benefits. You can contact your insurance company by referring to the number listed on the back of your insurance card.
Once you call and are connected with a representative, we suggest using the following questions to guide your discussion:

Does my insurance plan offer out-of-network benefits for behavioral health services for CPT Code 90834 (50 minute psychotherapy)?

(If you are interested in pursuing telehealth) Are telehealth services through a HIPAA compliant platform (Simple Practice) eligible for reimbursement?

How many therapy sessions a year does my insurance plan cover?

Do I need to obtain approval from my primary care physician in order to get reimbursed for services?

Do I have to meet a deductible prior to my out-of-network benefits taking effect? If so, how much is my deductible and when does it reset each year? Please note that if you are part of a family plan you may also want to determine if there is a separate individual and family deductible for your plan.

(If you have a deductible) Once I meet my deductible, what percentage of my therapist’s session fee will be covered by my insurance plan and how is this rate calculated? Please be advised that your insurance company’s reimbursement rate may differ from your therapist’s session fee, which is important to consider to make an informed decision about your financial investment in therapy.

Do I have an out of pocket maximum for out-of-network mental health benefits?

Can you provide me with guidance regarding how I obtain the necessary forms for reimbursement, and the process that I need to follow to submit these forms?
How much does therapy cost?
Our therapists’ fees range from $140 - $200 for a 50 minute therapy session. Please contact us directly to inquire about each therapist’s specific rate. Our intern’s rate ranges from $50-$100 per 50 minute session.
We recognize that seeking therapy is an investment in yourself, and never want financial stress to be a reason not to seek therapy. We offer a sliding fee scale for those in financial need. Feel free to ask about this during your intake call if financial stress is a concern for you.
If you are a SHiNE or Unite for Her Client, these organizations will cover the cost of our services.

What is a Good Faith Estimate and how can I receive one?
A Good Faith Estimate of expected charges provides you with an estimate for the cost of your services with Healing Concepts LLC. This estimate is based on your individual needs for services and the rate at which you pay for services. It is offered to help you understand how much you will be financially investing in services with us and so that there will be no surprises when you are billed for these services.
Under the law we, as health care providers, are required to give clients who do not have insurance or who are not using insurance an estimate of the expected charges for medical services, including psychotherapy services. You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency healthcare services, including psychotherapy services.
Our Good Faith Estimate form is included within the initial intake packet sent to clients who are planning to engage in services with us. You can also ask us for a Good Faith Estimate before you schedule a service with us and at any time throughout your treatment. If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. Make sure to save a copy or picture of your Good Faith Estimate.

What methods of payment do you accept?
We accept all major credit cards, HSA/FSA cards, cash, or personal checks. A credit card on file is required to book an appointment.
What is your cancellation policy?
We understand that everyone has unforeseen changes to their schedules. We do our best to accommodate our clients’ needs to cancel or reschedule. If you need to cancel or reschedule your appointment, we require that you contact your therapist at least 24 hours in advance of your appointment. Without this notice you will be charged in full for missed or cancelled sessions. Please note that missed or cancelled sessions are not eligible for insurance reimbursement on superbills.

What is telehealth therapy and how does it work?
Telehealth therapy allows our therapists to meet virtually with clients across the states of PA and DE. We have found that telehealth provides many of our clients with increased flexibility to make time for their therapy sessions during their work days or from the comfort of their own homes.
It is important to note that because the therapists at Healing Concepts are only licensed in Pennsylvania and/or Delaware, clients are required to take their telehealth sessions from the state(s) that their therapist is licensed within.
